Balloon Crew Call Privacy Policy

Balloon Crew Call is owned and operated by Sagebrush Building Automation LLC. It helps individual hot air balloon Pilots and crew chiefs organize their own ground crews, recruit crew members, record crew responses, and send authorized operational communications.

Information we collect

Depending on the features used, Balloon Crew Call may collect a crew member’s name, mobile phone number, home area, crew interests, availability, experience, notes, event responses, and waiver acceptance. A crew member may optionally provide emergency-contact, allergy, or safety information. Account owners and authorized account administrators may provide their name, contact information, subscription details, and account credentials.

When SMS messaging is enabled, we also keep the consent record, consent date and source, message content, delivery status, opt-out status, and direct replies needed to operate and support the messaging service.

How information is used

Information is used only to provide Balloon Crew Call features: reviewing crew requests, maintaining the account’s private crew roster, organizing crew groups, recording waivers and attendance responses, sending requested operational messages, processing subscriptions, protecting the service, troubleshooting delivery, and providing support.

Balloon Crew Call does not use crew information for third-party advertising or cross-app tracking.

Mobile information and SMS consent

Mobile phone numbers, SMS opt-in data, and consent records are not sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except aggregators and providers of the text-message service.

Service providers may process mobile numbers and message content only as needed to deliver and support Balloon Crew Call messages, prevent abuse, comply with law, or maintain the service.

How SMS consent is obtained

Crew members reach a private hosted registration form through an invitation link or QR code issued by their Pilot or crew administrator. The form requires the crew member to enter a mobile number and actively select an unchecked consent box before submitting. The disclosure identifies Balloon Crew Call, explains the types of operational messages, states that message frequency varies and message and data rates may apply, and provides STOP and HELP instructions. Consent is not a condition of purchase.

Imported contacts and people without a recorded SMS consent are not eligible for server-sent SMS.

SMS choices

Message frequency varies with crew activity and may increase around scheduled flights or events. Message and data rates may apply. Reply STOP to unsubscribe, START to resume after opting out, or HELP for assistance. A recipient may also contact the Pilot or crew administrator who sent the invitation.

Account access and separation

Crew applications and records are assigned only to the Balloon Crew Call account and invitation that received them. The account owner and authorized account administrators can access records for that account. One Pilot’s account cannot browse another Pilot’s crew roster or applications.

Balloon Crew Call is separate from Balloon Event Ops. It does not automatically share a Pilot’s personal crew roster, recruiting records, emergency information, or waiver records with a festival or Event account.

Emergency and waiver information

Optional emergency-contact and allergy or safety information is visible only to the account owner and authorized account administrators and may be used only when needed for crew operations or an emergency. It is not included in text messages or used for marketing.

When a waiver is used, the service may retain the waiver version, accepted text fingerprint, signer’s legal name, electronic signature record, and acceptance date and time so authorized account administrators can verify what was accepted.

Service providers and disclosures

Balloon Crew Call uses service providers for application hosting, data storage, subscription processing, email, push notifications, and—when enabled—carrier text-message delivery. They may process information only to provide those services. Information may also be disclosed when required by law or reasonably necessary to protect users, the service, or public safety.

Retention, access, and deletion

Information is kept only as long as reasonably needed for active crew operations, account administration, security, support, and legitimate record-keeping. A crew member may ask the account owner who provided the invitation to correct or remove a crew record. Account, privacy, or deletion requests may also be sent to support@ballooneventops.com.

Security and policy updates

Balloon Crew Call uses encrypted transport, account separation, limited-use invitation links, role-based access, and service audit records. No online service can guarantee absolute security. This policy may be updated as the service or legal requirements change; the effective date above will be revised when material changes are published.
